Rescheduling Appointments
If you need to reschedule your appointment, please notify us at least 24 hours in advance. This allows us to offer the appointment time to another patient who may be waiting for an available slot. If you reschedule your appointment with less than 24 hours' notice, a fee equal to half of the appointment cost will be charged.
Cancellations
If you need to cancel your appointment, we require at least 24 hours' notice. Cancellations made with less than 24 hours' notice will result in a fee equal to the full cost of the appointment.
No-Shows
If you fail to attend your scheduled appointment without notifying us in advance, a fee equal to the full cost of the appointment will be charged.
Exceptions
We understand that emergencies and unforeseen circumstances can occur. If you experience a genuine emergency or illness that prevents you from attending your appointment or providing sufficient notice, please contact us as soon as possible to discuss your situation. We will review these cases on an individual basis and may waive the rescheduling or cancellation fee at our discretion.
Repeated No-Shows or Late Cancellations
If you repeatedly miss appointments or cancel with insufficient notice, we reserve the right to require prepayment for future appointments or, in extreme cases, to terminate our relationship with you as a patient.

By providing us with timely notice of any changes to your appointment, you help us achieve this goal and ensure that we can continue to serve you and others in the best possible manner.

To ensure a clear understanding of the terms related to our prepaid packages, please review the following conditions:
- Prepaid Package Overview
Our prepaid packages allow you to purchase a set of chiropractic visits upfront, which enables us to offer you a discount for committing to multiple sessions at once. By purchasing a prepaid package, you will receive the benefit of this discount.
- Refund Policy
Prepaid packages are refundable; however, if you decide to cancel or refund your prepaid package, the discount applied to previous sessions will be deducted from the refund amount. This is because the discount is only available when the full package is used as intended.
- Expiration
Prepaid packages are valid for a period of 2 years from the date of purchase. After 2 years, any unused sessions will expire, and no further use or refund will be permitted.
- Non-Transferable
Prepaid packages are non-transferable and can only be used by the individual who purchased the package.
- Session Scheduling
All sessions included in a prepaid package must be scheduled within the 2-year validity period. We recommend scheduling your sessions in advance to ensure availability.
- Use of Package
Prepaid packages are only valid for chiropractic visits and cannot be used for other services or products offered by Northwood Chiropractic Oxford.
- Changes to Terms
Northwood Chiropractic Oxford reserves the right to modify these terms and conditions at any time. Any changes will be communicated to you, and you will be bound by the updated terms upon your next visit.

Below are the terms and conditions for our membership program. By signing up for a membership, you agree to the following:
- Membership Overview
Our membership program allows you to receive chiropractic care at a reduced price for regular maintenance visits. Membership is managed via direct debit, offering flexibility and cost savings for those who are committed to ongoing chiropractic care.
- Payment Terms
Membership fees are charged via direct debit. You are required to pay one month in advance, ensuring that there is always at least one unused visit available. The advance payment will cover your next month of care, and any additional visits will be billed accordingly.
- Unused Visits
Unused visits can be carried over from month to month but must be used within the membership period. Once the membership is cancelled, any unused visits are non-refundable but may still be utilized until the membership is fully cancelled.
- Cancellation Policy
Memberships may be cancelled at any time with no additional cancellation fees. However, you must notify us of your intent to cancel. Please note that while any unused visits are non-refundable, they may still be used before the cancellation takes effect.
- Membership Benefits
Membership is valid only for the individual who enrolled. It is not transferable. Membership benefits, including the discounted price on chiropractic visits, are only applicable as long as your membership is active.
- Changes to Terms
Northwood Chiropractic Oxford reserves the right to amend these terms and conditions at any time. Any changes will be communicated to you in advance, and you will be bound by the updated terms upon your next payment.
- Missed Payments
If a direct debit payment is missed or declined, your membership may be suspended until payment is received. Please ensure that your payment details are up to date to avoid any interruptions in your membership.
